School Cancellation Reminders

Parents,

With the first potentially forecasted winter weather for the area, I wanted to make sure and share with you the expected procedures for weather-related school cancellations.

According to board policy, "when the superintendent believes the safety of students is threatened by severe weather or other circumstances, parents and students shall be notified of school closings or cancellations by announcements made over radio/TV."

To clarify, the components involved in determining a school closing related to winter weather is:

  • Information shared by the Kansas offices of the National Weather Service
    • Forecasted weather event, severity, timing, etc.
  • Information shared by the Osage County Emergency Management Department
    • Status of county efforts in response to the weather event
  • Information shared by the Osage County Sheriff's Department
    • Status of local efforts in response to the weather event
  • Information shared by the Kansas Department of Transportation
    • Conditions of state highways, city streets, county roads, etc.
  • Collaboration with school district personnel
    • Status of routes, drivers, and other variables associated directly with the school district
  • Collaboration with area school district personnel
    • Confirmation of status of area school districts and their plans related to the weather event

In the event that school is canceled, information will initially be shared out by phone, email, text, and social media via the district's SchoolMessenger service. Additionally, contact will be made with various media outlets in the surrounding area. Please be sure to check the subscription settings within your Powerschool profile to ensure that you are being contacted correctly.

The timing of the cancellation notice will vary with each weather event depending upon the severity, certainty, and timing of the weather system. In the event of an uncertain weather system, the cancellation notice will be attempted to be made before 5:30 am to ensure the safety of our early morning personnel and planning for students and their families. However, the notification via SchoolMessenger or other means can be delayed at times simply due to significant use of the system or connectivity issues due to the weather event. While that outcome is unlikely, checking multiple sources for information is encouraged.

As a reminder, winter weather events are typically difficult to predict, but great care is taken to ensure that the appropriate result does occur. As stated, "when the superintendent believes that the safety of students is threatened by severe weather" a cancellation will take place, however if the weather is one that does not result in threatening conditions, school will still be in session.
